(“Friends”) Board met on Wednesday, January 14, 2014 at 11:30 AM at the West University Place Recreation Center, 4210 Bellaire Blvd, West University Place, TX.The following were in attendance: Board Members Ting Bresnahan Katie Hill Christina Milligan Christi Young Anna Stewart Jeth Jones Michelle Still Michelle Huth Staff Tim O’Connor Councilman Dick Yehle Visitors Adrienne Vanderbloemen I. Call to Order The meeting was called to order at 11:39am. II. Welcome, Opening Remarks and Approval of Minutes (Tim O’Connor) APPROVAL OF MINUTES A vote to approve the November 12, 2014 board meeting minutes was called by Anna Stewart and seconded by Christi Young. It was approved by unanimous vote. III. Treasurer’s Report (Christine Parker) See attached reports. IV. Park Lovers’ Ball 2015 (Michele Still, Adrienne Vanderbloemen, Christi Young)PLB Update 01/14/2015 Underwriting/Sponsorships: -We are SOLD OUT! Donna will spend Thursday and Friday working in Auction Tracker. We hope to move some people off of the wait list. -You all should have received your invitations.-Sponsors/underwriters Photo Contest: -Ended up getting lots of great photos.-Winners have been contacted and sent prize $.-West U Connections will run story/photos of winners and other entries. Will be displayed at PLB. Acquisitions:-Live: South Africa Photo Safari, Texans Spring Training Camp, Vail House, Fly Fishing Trip, Cushing dinner at Tiny’s, Silver Lab -Big Board: 4 tickets to Fleetwood Mac JJ Watt autographed jersey, Pirate’s Beach House, Beckrew Wine Party, Rootes Texans tickets, Flag painting, Scout House Movie Party, George Springer Autographed Jersey, F&F Camper #1, Round Top, Vellano trip, Colonial Park Parking spot -Could still use grab bag items. Accepting last minute donations. Will get all in catalog by Friday. -Paddles Up? The attendees unanimously voted to allow the funds from Paddles Up to be donated to the West U School playground’s updates. Jeth Jones suggested that we put a note of this in the catalog (as well as when Paddle’s Up is announced).Wine Pull/Whiskey Toss -Kristine update: We are continuing to collect bottles.People are dropping off checks/wine and we are out collecting from door steps. The event last week went well and we collected about 20+ bottles there. We have about 100+ bottles at this time and approximately $1200. We will purchase wine closer to the event once we finished collecting and can assess what price point/type of wine we may need. Please ask/remind the Executive Board that they can easily fulfill their $500 requirement by writing a quick check to Friends that will be used for wine! They can give their checks to Anna Stewart today at the meeting!! -Whiskey Toss Day Of -Will need volunteers. Keesha Organ will email. V. Parks and Recreation Report (Tim O’Connor)WUP Recreation Center Playground Fencing Project: Attached is the final Project Update for inclusion in the meeting minutes. WUP Recreation Center Backstop and Dugout Improvements Update: Met with Tri-Sports representatives, construction contractor, city Building Officials and City Forester to finalize permits and construction plans on January 7 th . Tri-Sports began construction of the masonry backstops and dugout and concreting the dugout floors at the WUP Recreation Center ball fields on January 8. Staff sent e-notifications to facility members and postage signage. This project is being fully funded by Tri-Sports and weather permitting will be completed on or before Friday, January 23, 2015.VI. Other Reports and Announcements Paver Update – Matt Foytlin (via Tim O’Connor)We were able to install a number of pavers in late December, including the donors with longstanding orders. David Woodward, our installer, has expressed an interest in tweaking the current system to streamline the engraving and installation process, with a focus on a schedule that sets several “hard” dates a year for installation. That would eliminate some of the problems we have now with the rolling installation schedule. Attached is the ProModular’s invoice for the installations. I will quality-check the invoice.The online system order system has been accepting orders, which is great. One thing we would like to focus on, with the assistance of the Parks Department, is how to create additional paver space in parks like Weir that reached capacity, or are nearing capacity. Weir Park’s central location makes it an appealing donor option, which we currently cannot satisfy.Hopefully, we can work with the Parks Department this year to come up with a solution for this situation. I don’t want to call it a problem, since having a demand that exceeds the current supply is never a problem!VII. Adjournment The next meeting of the Board is scheduled for Wednesday, February 18 th at 11:30am, 2015 at 11:30 AM at the West University Place Recreation Center, 4210 Bellaire Blvd, West University Place, TX.
