Approval of Minutes
Minutes of September 11, 2013 Meeting of the Board were approved by
unanimous vote.

IV. Fathers & Flashlights 2013 (Judy Cheng, Dee Dee Gilder, Ashley Gumbert)
The day went great! We've received only positive feedback and couldn't be more
pleased. We are thankful the weather held until Sunday morning. Everything went
according to plan yet we certainly learned a few lessons that we can improve on next
year. The event was attended by 257 dads and 498 children. 75 of those families
participating joined us as Century Club members, bringing our total registration
income to $50,252. Gross funds raised were $116,152 and net income will be
announced next week once we finalize expenses. Our next step is to thank sponsors
and underwriters, then set up the website to allow participants to purchase
photographs from the event. We will also contact our top underwriters and sponsors
regarding the pavers they are to receive as one of their amenities.
V. Park Lovers' Ball 2014 (Megan Morris, Nancy Kate Prescott, Kara Sanders)
We are full speed ahead with planning with only four months until the event. Vendors
have been hired including the band, graphic designer and auctioneer. Kara is working
with the graphic designer on the invitations and we expect to review a prototype later
this week. We have scheduled a site meeting next week at the Royal Sonesta to see
the renovated space and Kara has scheduled a meeting with the catering manager to
develop the menu.
Underwriting letters have been delivered. Over 450 letters were mailed out and for
table/ticket purchased, we will deliver a "We Love West U Parks" yard sign. Signs
will also be given to all board, advisory, and host committee members who would
like one. We hope that the signs create some "buzz" and incent people to buy their
tickets early.
To date, we have secured 5 sponsorships and are working on 3 or 4 others.
Auction items continue to come in and are systematically entered in auction tracker.
We have acquired some great items, but are still looking for the big ticket items (trips,
vacations, etc.).
Man Cave (Matthew Foythn)
We have a date for our first fundraiser - November 4u, at Marquis II on Bissonnet. A
preview of the Evite will be sent today. We need to tweak event parameters (revisit
donation amount, etc.) and the invitation, but it's pretty much ready to go. We would
like access to the list of donors who participated in the "scotch pull" last year so we
