Call to Order: The meeting was called to order at 6:35 pm by the chair John Wilkinson. II. Approval of Minutes: Following a motion by Melissa Pifko and a second by Susan Reeves, the May 1st minutes were approved. III. Recognition of outgoing Parks Board Members: Councilwoman Joan Johnson presented outgoing Park and Recreation Board Members with a plaque in recognition of their service to the board. IV. Park Master Planning Update: Tim stated that on June 27th the City Council will meet for a Council Workshop to discuss goal-setting and future planning for the city. One item that will be discussed is a new Park Master Plan. It is anticipated that Jim Patterson with White Oak Studio will help with the new Park Master Plan. V. PRB Sub-Committee Updates: • The Program Planning Sub-Committee gave an update. Melissa stated that the Spa Day for the moms was very successful. Tim did mention that there will have to be some changes to the program as there were several moms who were non-residents that attended and some residents that were turned away at the door (but had not registered in advance). Moya gave an update for the Custom Service Department. Some items that were discussed were: pool employees will wear name badges; Lifeguards will have weekly in-service meetings on Mondays; the city is in the process of incorporating Electronic Signature Pads at the West U Recreation Center and Colonial Park front desks, so people will no longer have to fill out paperwork for class requests and sign paper releases. This program is awaiting approval from the City Attorney. VI. Friends Overview: Amanda McGee was not present, but the Friends Board is on sabbatical through the summer. Their next big event is Fathers and Flashlights in October. VII. Board Member Updates: • Melissa Pifko stated that it is very difficult to book the tennis courts over the phone. Jeremy Veld gave an overview of Tennis Court Policies and Procedures. The number of pros has been reduced from 4 to 2. Residents can bring in their own pros, but you must make the reservation. Jeremy gave a handout with a summary from the October 2012 Meeting with Tennis Members and Program Participants. Jeremy also handed out a copy of the Current and Proposed Policies for the tennis courts. The Board was in agreement that the city should look into the capacities of Rec Track for booking the courts. • Park Ambassador Reports: John stated that the oleanders along the Poor Farm Ditch are not looking very good. Tim stated that there is no irrigation in that area. Parks and Recreation Board Minutes • Moya asked who is in charge of picking up the trash at the pool. Jeremy said that there should be one lifeguard who is picking up trash. People have been very happy with Prince's at the concessions. • Dick Yehle mentioned that recently he was visiting another city and he saw that solar- powered trash compactors in were in use throughout the city. Tim stated that the solar- powered trash compactors are very expensive. • Moya stated that she has spoken with people who live just outside of the West University Place boundry who are frustrated that they cannot use the West U facilities. The issue has come up with previous City Councils, but at this time non-West University residents are not allowed to buy memberships. VIII. Staff Updates: Tim reviewed the process of appointing new Park Board Members in a previous email. Potential members can fill out an application. City Council will probably do interviews in August or September. There are 5 openings on the Board. IX. Citizen's Comments: There were no citizen comments. X. New Business: The Board will not meet in July and will decide at a later time if it will meet in August. Tim passed out a flyer for Evelyn's Park in Bellaire. Tim also showed the Board the current copy of West University Essentials. 2 XI. Adjournment: The meeting was adjourned at 7:58 pm.
