Board Meeting Minutes
Wednesday, March 6, 2013
Friends of West University Place Parks Fund, Inc. ("Friends") Board met on Wednesday,
March 6, 2013, 11:30 AM, at West University Place Recreation Center, 4210 Bellaire
Blvd., West University Place, TX.
The following were in attendance:

The meeting was called to order at 11:33 AM.

Welcome, Opening Remarks, and Approval of Minutes (Amanda McGee)
Welcome and thank you for attending today's meeting.
Welcome to our 2013 Fathers & Flashlights Chairs, Judy Cheng, Ashley Gumbert, and
Dee Dee Gilder. Our event kick-off meeting is scheduled today immediately following
the Friends' Board Meeting. We have preliminarily contacted West University
Elementary School requesting two possible event dates, October 5 or October 19, 2013.
We are looking to upgrade our website to expand online capabilities such as donations
and event ticket purchases. We will need to bring in someone with expertise to assist us
with this. If you know someone qualified, please contact Amanda.
Approval of Minutes
Minutes of the February 2013 Meeting of the Board were approved.
Treasurer's Report (Courtney Archer)
See attached financial statements as distributed to those present
Special Events/Party on the Patio (Grace Ebaugh)
Party on the Patio will begin with our first in the concert series on Friday, June 7, 2013,
7:00 - 9:00 PM. Direct Energy is the major underwriter of this family event series at
Colonial Park each Friday night in June. The pool and concession stand will be open
during each event.
All bands have been officially booked; contracts have been finalized and will be sent to
Donna for her review. The 2013 line up includes crowd favorites, Ezra Charles and the
Fab 5 book ending the series; Kelly Maguire and Route 66 will be in between.

Executive Director Report (Donna LaMond)
Kristine and I continue to work on closing out PLB 2013 with disbursement of auction
items and collection of payments. We are getting close. Park Lovers' Ball has gotten
some good press recently in West University Buzz and West U Essentials. Photos from
the event are also on Facebook. We are talking to prospective ball chairs for 2014 and
hope to have some good news on that front very soon. The date we are looking at for
PLB 2014 is February 8. I am also exploring other options for our check out services,
etc., for 2014. Also looking for recommendations for MC types and live auctioneers.
The new Direct Energy banner has been put up at the Rec Center showing them as our
2012 and 2013 Corporate Sponsor. Thank you to the City maintenance crew for hanging
it for us so quickly.
As Amanda mentioned, we are still waiting to secure a date for the next Fathers &
Flashlights event. We are hoping for October 5. I expect to hear back on this soon. We
have our first F & F meeting with the new chairs today following our board meeting.
I am working on filing Friends nonprofit periodic report as requested by the Office of the
Secretary of State. It is due by March 21, 2013 along with a $5 filing fee.
Initiated contact with our CPA as we get ready to work on Friends 2012 tax return
preparation. Emailed them information they need to get started with our return.
Courtney is helping to provide them with additional information as needed.
The donor wall project remains a high priority project. Ting and I will meet following
spring break to continue working on it.
I am happy to announce that Kristine is our new Public Relations Chair for Friends now
that her role as PLB chair is behind her for the most part. I will be working with Amanda
to define Friends board roles for Christina, Jeth, and Sara.

Friends activities.
City Council Update (Mayor Bob Fry)
Mayor Bob Frey provided an update on the Mercer/Pittsburgh Streets property and new
park acquisition. He also addressed rumors and various resident issues.
Pavers (Matthew Foytlin)
In her new role as Public Relations Chair, Kristine Martinez will work with us on this
initiative. We are considering a marketing specialist specifically for Paver sales.
Adjournment
The next meeting of the Board is scheduled for Wednesday, April 3, 2013 at 11:30 AM in
the Conference Room, West University Place Recreation Center. There being no further
business, the meeting was adjourned at 12:00 PM.
