("Friends") Board met on Wednesday, January 4, 2012 at 11:30 AM at WUP Recreation Center, 4210 Bellaire Blvd., West University Place, TX. The following were in attendance: Board Members Leah Ragiel Sue Hanna Courtney Archer Ting Bresnahan Anne Freeman Matt Foytlin Steve Primrose Debora Connelly Amanda McGee Executive Director Donna LaMond Staff Tim O'Connor Advisory Board Joni Fichter Guests Sara Barbatano Caroline Evans Vernon Tyger City Councilperson Susan Sample Call to Order The meeting was called to order at 11:36 AM. Welcome, Opening Remarks and Approval of Minutes (Leah Ragiel) Approval of Minutes of the December 7, 2011 was postponed until the next scheduled Meeting of the Board. Pavers (Matthew Foytlin) Approximately 20 pavers were installed over the holiday break, with the last few going in today. The installation was a little dicey at times, as holiday vacations, illness and equipment breakdowns (the crew broke the tool used to remove the octagonal pavers) significantly thinned out the crew of ProModular. Our installer thinks 3 or 4 installations a year will result in enough paver orders. We have discussed it before but major holidays perhaps Easter/Memorial Day, Labor Day and Thanksgiving may work. As long as he has the orders in 3-4 weeks before the installation date, he should be able to handle the load. We can revisit this as a marketing issue. This installation also marked our trial run of the order spreadsheet. We are using Google Does as our platform for order submissions. The document has different tabs for each park. Any user can upload information, and ProModular has "color-coded" the entries for order status different colors for pending and approved, which has worked well. One item on the "to-do" list is to figure out a way to let donors "approve" their order to avoid a situation where the donor changes his or her mind after the paver is approved but before it is installed. This also requires the donor to check the accuracy and lay-out of the paver before it is installed. Unfortunately, they can't figure out a way to allow limited access they tell me that any access to the spreadsheet gives the user complete access to modify or delete any entries obviously a security risk.
