Board of Directors Meeting January 2, 2002 Municipal Building Conference Room 3800 University Boulevard Joni Fichter called the meeting to order at 6:15 PM. Those in attendance included: Beverly Loftis, Ross Frazer, Karin Dubose, Chris Simon, Mark Mailes, Will Bertron, Charlie Henke, Maria Elena Herbst, Vicki Grams, Sherry Gift, Joni Fichter, and Stephanie Langenstein. 2. President's Report - one board position still is available. Approval of the minutes for the December 5, 2001 meeting was post-poned as Gayle Jackson was out of town. 4. Treasurer's Report - Ross Frazer reported that the West U City Council approved the budget for the Park Lovers Ball. Ross distributed copies of (1) a Treasurer's Report, (2) Friends' Texas Sales & Use Tax Exemption Certification that he printed from www.window.state.tax.tx.us/taxinfo/salestax.html , and (3) a 2002 PLB Uses and Sources report. Board Reports a. Foundations & Large Gifts - Chris Simon is chairing this sub-committee. Charles Henke, Linda Gray, and Karin Dubose are members. Chris has drafted a list of 20 target foundations. A request was made to include Texas Parks & Wildlife as a target foundation. b. Website - Donna and Marc LaMond have completed Friends' webs ite, www.westuparks.org . It includes an e-store where visitors can purchase ball tickets, park pavers, t-shirts, golf shirts, ornaments. Additionally, they can establish memorials or purchase "in honor of donation cards. Stephanie Langenstein and Joni Fichter have been drafting a wish list of park items. Friends' website can thank donors by establishing a link to the donor's website. We are considering ads on our website. Public Relations / Historian - Donna LaMond requests our assistance in distributing information regarding Gexa, one of our business partners. Other business partners include Randalls, Krogers, and Kay Holloway (10%). Friends has received positive press relating to Colonial Park. Additional positive projects include our $23,000 donation to West U Elementary for its playgrounds. d. Membership / Magazine - Patricia Rorschach reported that a beach towel would be too expensive to have printed. e. Special Events f. Planned Giving & Memorials - no report (Win Graham was held up in a business meeting at his office.) g. Park Lovers Ball - Maria Elena Herbst reported that (1) the West U City Council approved the 2002 Park Lovers Ball budget, (2) Mary Enerson still is selling PLB t-shirts for $10 each, (3) invitations had been mailed, (3) posters need to be hung, (4) the banner is up in time for the Compaq Marathon, (5) PLB requires two banners for City Hall [one 10 feet for the front of City Hall and one 30 feet for across University Boulevard], (6) Ross Frazer will need a couple of volunteers on Sunday, February 10`h, to help him complete credit card transactions made during the Ball's auction. Thereafter, discussion took place regarding auction check-out and potentially pre-scanning credit cards. Volunteers will be needed from approximately 9:00 AM to 3:00 PM or later on Saturday, February 9,', to help set up at the hotel for the Ball. h. Wish List / Giving Tree - Stephanie Langenstein is completing a draft list of items that Friends would like to have for various parks in our neighborhood. Items include a variety from a $500 outdoor grill to a $12,000 park naming right. The Elena Chapel Walton Memorial was discussed. Business Partners - Sherry Gift and Vicki Grams are developing a list of business partners including: Randall's, Kroger's, Gexa, Kay Holloway, and our city's water bill check-off. Additionally, Patty Betz has indicated that she is a broker who can help residents decide which energy company to choose and will donate a portion of her sales to the Friends Board. 6. Old Business a. Discussion regarding the proposed Executive Director position b. Gayle Jackson will host a cocktail party at her house honoring immediate-past Board Chairman, Linda Gray, on Sunday, January 13`h, at 6:00 PM for Friends Boardmembers, spouses, prior boardmembers, and other guests. C. At some point, the Friends Board might consider formally reducing the length of its name. The commensurate group at the City of Houston is simply called the Park People. d. As of February 2002 Friends address will be: The Friends of West University Place Parks Fund, Inc., The City of West University Place, 6104 Auden, Houston, Texas 77005.
