Board of Directors' Meeting
January 7, 2003

Call to Order
The meeting was called to order at 6:32 P.M. Those in attendance were: Lynne
Goddard, Gayle Jackson, Leah Ragiel, Vicki Grams, Win Graham, Joni Fichter, Cheryl
Butler, Chris Simon, Karin Dubose, Whitney Walsh, Beverly Loftis, Donna LaMond,
Maria Elena Herbst, and Mark Mailes.
President's Report
Joni urged everyone to go by and look at Colonial Park if have not already done so.
Looks fabulous. Congratulations to Parks Board member Tara Wurthrich on the birth of
her son, Adam
Approval of the Minutes
Minutes of the December 4, 2002 meeting were approved.
Executive Director Report
Have been doing lots of PR for the parks and ball; will meet with board members and get
new notebooks to them
Treasurer's Report
Ross not at meeting and report to be e-mailed
Board Reports
E-Store: Cheryl Butler reported that she would help to promote the selling of pavers
Foundations: Chris Simon reported a meeting would be held 1/30/03 to get committee
thinking about what to do next; Farish and Cullen Foundations requests are pending until
after January; turned down by Hershey Foundation
Website: Not able to purchase items on line from Colonial Wish List at this time; still
working on that; adding underwriter and donor names; need pictures of parks activities
within the parks; adding information about the stork fundraiser
Membership & Marketing: Exceeded our initial membership goal by 25%; right at
about $9400 in 3 mos. of pushing; lots of the money came in through the website; will
have membership sign up sheet at the ball so can join by using auction bid Patricia
Rorschach and Shannon Gardner will be visiting various neighborhood groups to push
membership
Special Events: Whitney Walsh is working on Colonial Park opening with Will Bertron
and Mark Mailes; looking at a date of February 23, maybe 12:30 - 3:30; need to check
Linda Lewis' calendar; Chick-Fil-A and Whole Foods to participate; Village News to do
publicity; still planning; Nes Tesno wants to participate with Arbor Day; maybe have
clowns, etc.; Might want to invite foundation members to the festivities; try and involve
as many groups as possible in the city; motion made by Maria Elena Herbst and seconded
by Donna LaMond to let Whitney Walsh spend $999 for Special Events activities and
supplies. Motion carried; New fundraiser - stork to be placed in yards of families with
newborns; Joni to e-mail council so will be on their agenda
Park Lovers Ball
Leah Ragiel reported that invitations to be mailed and in hand by January 11; Times
Square theme; blacktop avenue; Kelly Dean Band will play; working on program input
every Wed, Thurs, and Friday at Sue Jensen's home; each board member asked to get 5
more couples to come to the ball; remember to schedule time to help with set up at the
Westin on Saturday, February 8
PLB Recognition and Follow Up

Wish List/Giving Tree
Will have a donor wall facing east at Colonial; motion made and passed for general
landscaping fund at $100 per donation to be used by the parks and Rec Department at
their discretion on item and location; donors not able to dictate; Parks Wish List items at
Colonial will be listed in Parks Corner as well as Rec Center items, and the original
prices, with the exclusion of the bear and trees, will remain in effect through the ball on
2/8/03; Mark Mailes to get new pricing so that prices can be adjusted on website and in
all printed materials
Business Partners
Lynne Goddard reported that received $100 in 2002 for power switches; Al's giving $20
off rentals for ball, $10 to parks for each rentals, 10% off purchase, 10% to parks9

Parks & Rec Report
Proceeding with open concept as has been West U's tradition; pricing will be more for
non-residents: usage determinations to be made; no report from Parks Board; Pocket Park
design to be done by A&M student; will meet with parks Board and maybe community
reps to discuss plans; having meeting with Andrew Goldberg of Softball Board about
needs

Joni Fichter and Danielle Kernell to meet with Linda Lewis regarding matching grant for
Rec Center
