Board of Directors' Meeting
March 6, 2002
Municipal Building Conference Room
West University Place, Texas
1. The meeting was called to order at 6:25 P.M. Those in attendance were: Donna
LaMond, Joni Fichter, Will Bertram, Patricia Rorschach, Cheryl Butler, Charlie
Henke, Sue Hanna, Beverly Loftis, Chris Simon, Karin Dubose and Stephanie
Langenstein
2. President's Report: Joni Fichter read thank you letters from new West U
resident who attended ball and from West U. Elementary PTO regarding new
playground
Joni changed next meeting date, due to conflict of several members, to Thursday,
April 4, Public Works Conference Room, 3825 Milton
Joni informed the board members that Marisue Tallichet needs a leave of absence
from Board and therefore now 2 positions are available (Position 13 and 18); Joni
has 2 applications - Cece McCann and Leah Ragiel; Motion made to accept these
two for positions made by Donna Lamond, motion seconded by Beverly Loftis;
Cece McCann - Position 18
Lean Ragiel - Position 13
3. Approval of Minutes: The minutes were approved
4. Treasurer's Report (Unaudited): Ross Frazer was absent but monthly report
and Park Lovers Ball totals (to date) were handed out; Proceeds from silent
auction $34,420; live $14,350 (includes $3,300 from bidding frenzy); Parks
Corner $6,200; $53,435 sponsorships; $71,000 RSVPs; total $166,480 less
expenses - Ball net is roughly $115,000 to date although there are still checks
coming in
5. Board Reports:
E-Store: Cheryl Butler to put information at Colonial Park on pavers and other
park equipment still needed for the Parks renovations; will get information on
park equipment from Stephanie Langenstein
Foundations & Large Gifts: Chris Simon reported the committee is targeting
several groups at this time, will get from Ross Frazer additional financial
information on Friends Board that is needed to complete grant requests;

discussion on who can write grant requests - possibly committee members and/or
new executive director (when one is hired)
Website/Public Relations: Donna LaMond reported the website continues to
expand; now contains Partner Program information, sign up and information on
Sociables which still have room for guests and there is now a link to the city web
page
Membership & Magazine: Patricia Rorschach reported that she will check to see
if any memberships were sent back to the city (from info. put in Ball packets);
membership opportunities also available on Web page; Joni suggested Board
members may want to join (Patricia will email)
Planned Giving & Memorials: No report
PLB & Auction: Joni requested any comments on the ball be forwarded to Maria
Elena; discussions of alternative locations/ dates for next years ball - information
to be forwarded to Cece
PLB Underwriting and Recognition/Follow Up: Sue Hanna reported that she has
additional money for Ross, thank yous going out and she will follow up on
recognition to underwriters
Delivery of auction items went smoothly, very few left at hotel
Wish List/Giving Tree: Stephanie Langenstein had update on items sold for
Colonial Park - another flagpole was ordered; wish list now available on-line;
follow up on dedication for Elena Chapel
Business Partners: Joni reported that they had met with Patty Betts of PowerFund
(a business that facilitates customers change utility providers), GEXA is one of
the providers; PowerFund may set up at one of the parks to provide information to
residents
Received $200 check from Al's Formal Wear (proceeds from portion of Parks
Ball rentals); Reminder of 20% back to Parks card from J. Tirras (in Ball packets)
Council Report - Marilyn Griffm reported that there may be a safety issue
regarding concrete "cannon balls" structures planned for Colonial Park; concrete
may not be approved for play area; Council and Parks and Recreation board will
continue discussions; if needed a replacement item will be found
Parks and Rec Report - Update on trees sold
Executive Director Search: Joni reported search is continuing for executive
director; two resumes received to date; resumes should be sent to Linda Miller at
City offices

7. New Business - Joni reported that a group called Neighborhood Pride will be
touring West U in May, Linda Lewis will be guiding tour; Margaret Wallace is
helping coordinate; there will be a dinner and she may contact Friends members
to help
Reminder to use 6104 Auden, West University Place, Texas address instead of
Post Office box
8. Being no further business, the meeting was adjourned at 7:15.
