Board of Directors Meeting
Municipal Building Conference Room
May 7, 2003
Call to Order
The meeting was called to order at 6:20 P.M. Those in attendance were: Donna LaMond, Sue Hanna, Cheryl
Butler, Lynne Goddard, Maria Elena Herbst, Joni Fichter, Karin Dubose, Beverly Loftis, Gayle Jackson, Patricia
Rorschach, Shannon Gardner, Whitney Walsh, Charlie Henke and Mark Mailes
offered at PLB 2003
President's Report
Congratulations were offered to new city council members; Joni asked all to update
chronologicals; Donna LaMond expressed interest in Executive Director position; motion made,
seconded and passed that she fill the vacated position; Danielle Kernell to train
Joni, Cece, Leah, and Donna met with Lewis Family Foundation about the matching $500,000
grant for the Rec Center; will kick off to correspond to 2005 PLB
Joni met with Gene McFaddin of W U Rotary to discuss possible plans for their anniversary
project; Friends would like to have something done at Rice Pocket Park if possible
Thanks to all hosts and hostesses of the Cinco de Mayo party
Approval of the Minutes
The minutes of the April meeting were approved with three changes:
a. Cheryl Hoyal, not Beverly, was the volunteer artist for the storks
b. Ross Frazer reported that the City will keep FW UP books if board desires He also
recapped the discussion from previous months about options which range from continuing
spreadsheet-based system to acquiring some type of accounting/reporting software to the
city's offer. He will meet with the city's Finance Director to understand what the City might
offer in this regard and come back to the board with a recommendation
c. Working on two grants with Parks and Wildlife
Executive Director's Report
Thanks to Danielle for all she did in position of Executive Director during last ten months;
As for press releases -good articles about pocket park, Executive Director, and Cinco de Mayo;
Danielle and Whitney working on article about storks; will have press release on tax donations
before year's; will have press release on first $1000 donation for the Rice Pocket Park
Joni asked that any pictures taken that relate to the parks be saved for press releases and
scrapbook which will be be done soon by Maria Elena Herbst; all welcomed to help
Treasurer's Report
Joni reported in Ross' absence; owe City $529,211; motion made and approved to what we
owfrom Friends account
Board Reports
E-Store - Cheryl reported that a refund is due on a paver that came in broken; Mark LaMond said
need to spruce up articles; In Memory Of and In Honor Of need explanations; Cheryl to do
Golf Shirts: Cheryl talking to new vendor and will look into doing caps
Foundations Large Gifts and Planned Giving. have new position of Nominations and By Laws -
Chris Simon to help figure out how to use Advisory Board; Danielle Kernel[ helping here; Charlie
Henke working on Parks and Wildlife grants; Joni to give information to Charlie on Schwab
Foundation; need names of persons who might be willing to make large donations; Joni and
Linda Lewis working with Lisa Grotten Boren on donation in honor of deceased family
Website: Mark LaMond met with Donna; Rec Center wish list added; Colonial pricing updated;
pocket park wish list to be added as soon as have plan; stork program has been added; News
and Events calendar for Friends, PLB, sociables will be added - all have click and pay feature;
would like to have banner ads so everyone encouraged to spread the word for advertisers
Membership & Marketing* newsletter out; great job; will have push for membership in the fall;
newsletter to go out in October
Special Events: Whitney Walsh reported that all storks are painted and ready to go; Whitney will
take first three months rotation of dealing with orders and putting out
PLB: - Leah reported that she would still like to get a co-chair for the 2004 Ball; website needs
committee list and information updated asap; Theme to be "Saturday in the Park"; first meeting at
home of Keli Luce on May 20; proceeds of 2004 Ball to be for general fund; each park will have a
spot in Parks Corner
Administration Chair - Sue Hanna to send new rosters to city as well as all new changes
Business Partners: no report
Block Captains: Lynne Goddard talking about date for night to get together
Nominations and By Laws: Chris trying to see how to better utilize Advisory Board; may need to
set tenures
Parks and Rec Report: Mark Mailes reported that spent $2500 for two spring riders; $1900 for
trees; all equipment ordered; trees ordered; signs up for activities to begin;
Motion made and approved that if Donor Wall doesn't cost $5,000, then Parks Board can use
surplus money for Colonial Park equipment
Rice Pocket Park: Thanks to Cheryl Hoyal and Shannon Gardner and A& M students

Adjournment: There being no further business, the meeting was adjourned at 7:30 P.M.
