Board of Directors' Meeting October 8, 2001 Community Building Activity Room 6104 Auden West University Place, Texas 1. The meeting was called to order at 6:30 P.M. Those in attendance were: Joni Fichter, Linda Gray, Gayle Jackson, Cheryl Butler, Win Graham, Mary Elena Herbst, Sue Hanna, Karin Dubose, Mark Mailes and Cece McCann 2. Linda Gray moved that the minutes of the September meeting be approved; Gayle Jackson seconded. Minutes were approved. 3. Treasurer's Report: $333,343.60 in the Money Market account; $5,535 in the checking account; $75,000 in CD's; for a total of $413,878.60; money earmarked for Colonial Park 4. Reports: a. HomePlace Celebration: Need $100 check for Harbor Lights Choir; Sue Hanna to get fried chicken, etc. for the singers; show up about 5:15 on Oct. 27 to stuff Whole Foods bags with John Daugherty calendars, PLB info, paver brochures and whatever else we can find; Linda Gray to call Jeannie Marosis with John Daugherty Realtors to see if J-D Realtors might be willing to sell raffle tickets from 6:00-7:30 for the year of cable service donated by Time-Warner Cable; raffle tickets will be $5.00 each or $20.00 for 5 tickets; Ken Hoffman will be asked to pull the winning ticket; still need volunteers for clean-up b. Foundations & Large Gifts: No report c. Website: Donna LaMond the liaison between board and website; will register wuparks.org and keep parkloversball.org; many possibilities for giving to be explored on the website; Linda Gray made a motion to adopt the attached mission statement for the "Friends"; seconded by Karin Dubose; motion passed d. Public Relations: Donna LaMond placed article in WU Examiner 9/18 about PLB; another article scheduled on realtor Kay Holloway e. Merchandise: Will not sell during HomePlace £ Membership & Magazine: Chair needed g. Special Events: Now is HomePlace h. Planned Giving & Memorials: Win Graham had no report i. Park Lovers Ball: Linda Gray asked to be 2003 Honorary Chair and she accepted; Sue Hanna reported that 5 underwriters are now in; Cheryl Butler making follow-up calls; Linda Gray to call Duke Energy and Carol Burke at Gardere Wynne; Cece to follow up with Medical Auxiliary Wish List/Giving Tree: Will Bertron and Mark Mailes working on list for what needed in each park; list to include trees, benches, tables, equipment and anything else which can be underwritten k. Randall's/Kroger's/Water Bill Check Off. No report 5. Old Business: a. Job Descriptions: E-mail to Linda by October 15 as she is compiling notebook of all responsibilities b. Halloween Friends Party: Whitt Johnston Park October 21 from 2 P.M. - 4:00 P.M.; have kids wear costumes c. Executive Director: proposal made to City Manager Sherman Yehl and Mayor Linda Lewis relative to hiring an Executive Director for our Board; will be on City Council agenda in November 6. New Business: a. Karpas realtor Kay Holloway will give 10% of all commissions to Friends, WULL, WUElementary, and WUSoccer; b. Name change: Thinking of changing Friends of West University Place Parks Fund, Inc. to something shorter such as Friends of West U Parks or West U Park Friends; for next meeting be thinking of some short name c. Motion made by Karin Dubose and seconded by Sue Hanna to accept revised Board of Directors' Responsibilities List (attached); motion passed d. A motion was made and passed to nominate the following people as new members to the Friends board; new members are Mary Elena Herbst, Vicki Grams, Charlie Henke and Patricia Rorschach; City Secretary Kay Holloway will be notified e. The YMCA property has been purchased; feasibility study will be conducted; Friends will probably foot the $20,000 bill for the study f. Joni passed out a business proposal for Gexa, an Energy Corp.; proposal states what they will do for Friends if sign up with them for electric service; Donna LaMond to write publicity for this. 7.
